Workspace for Education Plus
Assigning licenses
Note when a school has Workspace for Education plus - they still have to assign licenses.
There should be sufficient licences for Staff available.
School receive 1 free staff license for every 4 paid student licenses purchased - 100 students = 25 staff licences
Schools should be empowered to make decisions as to who is assigned these licences.
This can be set up to automatically be applied to an organisation unit and/or applied to an individual user.
Note gifs below shows teaching and learning upgrade sam process for school but subscription will be for Workspace for Education plus
Assigning Individual licenses
Automatically Assigning By - Organisational Unit
Pros
Easy to manage a large number of licenses
Scaleable
Can automatically assigns licenses to new users
non-technical
Cons
Need to have very strong management of OUs
Will not remove license of suspended users
How to assign licenses automatically?
Automatic licensing can be the easiest way to manage licenses if the institution has clear policies about managing OUS. New users will automatically receive a license if the OU they are in has been assigned licenses. The main caveat is that if a user is suspended, the license is not automatically removed. This necessitates a process where suspended users are moved to a separate OU so as to remove their license and free it up for another user.
Navigate to ‘License settings‘ under ‘Billing’. Select the OU to apply automatic licensing, and choose the license to apply to this OU.
If the license has different types (for example, Education Plus and Education Plus (Staff), choose the correct one to apply to this OU and click Save.
Remember to be aware that all users (including suspended users) will be assigned licenses in this and OU.
Getting Workspace for Education Plus Upgrade
Most Schools Have this now - schools joining the network may not and it is worth checking as they come on board.
Recording with Google Meet and other advanced functions are only available schools with Workspace for Education plus.
You can Compare editions here but the bottom line is this this is mission critical to support our pedagogy especially where online learning is the only option.
There is no impact on other services or Google licencing for Devices etc ie only an upside that we can see.
You can check if you have it using google superadmin access
on the admin console under billing - manage subscriptions it will appear as a workspace upgrade. note will be 2 lines education plus upgrade 1 for students another for staff
The picture below shows the subscription for a different upgrade the icon you see will look like that.
If the school doesn't have it you can check that they have sent a verification letter to a
Workspace for education partner : use the local tech provider (Fusion, New era , Norcom) if on this list.
If not one of them Google's recommendation was to use Noel Leeming commercial
